Abstract

This internship report was prepared to comprehensively describe the Student Payment Recording System Procedure at Kumon Pengasinan Rawalumbu, an educational institution operating in the supplementary education sector. The objectives of this internship were to identify operational challenges, evaluate the effectiveness of the existing payment recording system, and propose recommendations to improve data accuracy, efficiency, and security. The methods employed in this study included direct observation of administrative processes, interviews with staff members, and data collection throughout the internship period. The findings revealed several major issues, including a high risk of data entry errors, slow reconciliation and data retrieval processes, and limited capabilities for automated report generation and data backup. To address these issues, this report recommends the implementation of an integrated payment system, such as a web-based application or database system, which provides structured data entry, automatic reconciliation, access control, and regular data backup. Alternatively, the utilization of advanced Microsoft Excel features, including data validation, PivotTables, and worksheet protection, is also recommended to enhance the existing system. The implementation of these recommendations is expected to reduce errors, accelerate administrative processes, and improve the transparency and security of financial data management at Kumon. Overall, the current payment recording procedure has been implemented adequately; however, further improvements in the utilization of information technology are necessary to achieve greater operational effectiveness.
